Planning an event for 200 people? One of the easiest questions to answer is also one of the most important: How many cookies should you order?
The right quantity depends on whether your cookies are dessert, favors, take-home gifts, or simply one element of a larger event.
Here’s a simple way to estimate.
If Every Guest Gets One Cookie
For a 200-person event, start with 200 cookies.
If the cookies are individually packaged and given to each guest as a favor or take-home gift, one per person is usually a straightforward starting point.
If the Cookies Are Part of the Dessert Table
If there will be cake, cupcakes, pastries, candy, or other desserts, you may not need one cookie per guest.
For a dessert table with several options, approximately ½ to 1 cookie per guest can be a reasonable starting point, depending on the rest of the menu.
For 200 guests, that means approximately:
100–200 cookies.
If You Want Guests to Take Cookies Home
This is where quantities can increase.
If cookies are intended as favors, plan on approximately one per guest, plus a small buffer.
For 200 guests, you might consider ordering 210–225 cookies so you aren’t left scrambling if attendance is slightly higher than expected or a few cookies are damaged during setup.
If You’re Using Cookies as Branded Giveaways
Corporate events, trade shows, and open houses work a little differently.
You may want enough cookies for expected attendees, but not necessarily one for every person who walks through the door.
For example:
100 expected visitors → approximately 100–125 cookies
200 expected visitors → approximately 200–250 cookies
500 expected visitors → approximately 500+ cookies
Your distribution strategy matters.
If cookies are individually packaged and designed to be taken home, people are more likely to keep them.
Don’t Forget the Extras
Whenever you’re ordering custom cookies, it’s smart to consider a small buffer.
Why?
Because events are unpredictable.
Attendance changes. A cookie gets dropped. Someone wants to take one home for their spouse. Your event photographer needs a few beautiful cookies for detail shots.
A little extra is usually much better than running out.
A Simple Rule of Thumb
For most events:
One guest = one cookie is the easiest starting point.
Then adjust based on whether cookies are:
The main dessert
One of several desserts
A party favor
A branded giveaway
A take-home gift
A place card
